The Board of Supervisors of Lancaster Township, Lancaster County, Pennsylvania, shall follow the proper procedures as outlined heretofore for establishing a master file and archives for Lancaster Township and for proper disposal of all outdated records.

All "public records," as that term is defined by the "Right-To-Know Statute,"[1] except for confidential communications between the township and its attorney relative to litigation or potential litigation, are considered open and available for inspection during reasonable hours at this office. The Supervisors and their employees recognize your right as citizens to examine and copy these books, files and records.

We ask, as a matter of courtesy, that you recognize that we have a duty to prevent these records from being mishandled, misplaced or destroyed. You are entitled to copies of records upon payment of reasonable fees designed to offset the cost of reproduction. However, we also ask you to recognize that records on certain issues which have generated substantial publicity create a demand for record reproduction which may temporarily exceed our ability to provide you with rapid service. We ask for your patience during these times.
Our policy is that records are available for examination by the public during regular business hours, or from 9:00 a.m. to 12:00 noon and 1:00 p.m. to 4:00 p.m. Monday through Friday of each week.
We prefer that a township employee monitor review of records to ensure that the records are not removed, altered or destroyed.
If your review is expected to take more than 15 minutes, we would request advance notice because of our desire to have someone in attendance for observation during inspection. If there is a sensitive issue creating an unusual demand, we will process these requests in the order they occur.
