There is hereby created the position of Executive Secretary.
A. 
The duties of Executive Secretary, under direction, shall include, but not be limited to:
(1) 
To perform all those secretarial and clerical duties of a varied nature and related work as directed by the department head to whom the Executive Secretary is responsible as assigned by the Township Administrator.
(2) 
To review, sort and route incoming correspondence, and prepare letters on routine matters that may or may not be signed or reviewed by the department head.
(3) 
To obtain pertinent material from files and other sources and to organize the same for review by and use of the department head.
(4) 
To accept callers at the office and to maintain a schedule of appointments and the daily engagement calendar of the department head.
(5) 
To prepare the agenda of departmental meetings and to take minutes of the meetings and transcribe those minutes as necessary.
(6) 
To assemble statistical and other materials required for reports and to prepare those reports as needed.
(7) 
To maintain confidential, personal correspondence and other records and files, including a follow-up file.
(8) 
To perform clerical duties as directed by the department head in processing any matters that are the responsibility of the department head.
(9) 
To perform any other related work as directed by the department head.
B. 
To be appointed to the position of Executive Secretary, an individual must meet the following requirements:
(1) 
Possess six years of experience in secretarial and administrative clerical work.
(2) 
Possess knowledge of modern secretarial office routines, procedures and practices and their application to specific situations.
(3) 
Ability to act as confidential secretary to a department head and to relieve him/her of office detail.
(4) 
Ability to organize secretarial work, sometimes of the confidential nature, which may entail supervision of clerical employees.
(5) 
Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
(6) 
Ability to take minutes of meetings and transcribe them into authoritative form.
(7) 
Ability to prepare routine correspondence.
(8) 
Ability to maintain confidential, follow-up and other records and files.
(9) 
Persons with mental or physical disabilities are eligible as long as they can perform the essential functions of the job after reasonable accommodation is made to their known limitations. If the accommodation cannot be made because it would cause the employer undue hardship, such persons may not be eligible.
The Executive Secretary shall be appointed by the Mayor, with the advice and consent of the Township Committee, and shall serve a term of office of three years, commencing on January 1 of the year of appointment and ending on December 31 of the third year, or until a successor shall be appointed and qualified.
